The review is not decided by the problem. It is decided by what the guest experiences after they report it.

Speed does more than the fix
A guest who hears back in five minutes is a guest who knows somebody is on it. A guest who waits two hours has already started writing the review in their head.
You often cannot solve it that fast. You can always answer that fast. Those are two different promises and the first one is the one that matters most.
OWN IT
Solve, do not explain
Nobody on vacation wants to hear that the vendor cannot come until tomorrow, or that this has never happened before. Say what you are doing and when you will update them, then update them when you said you would.
Short and specific beats long and apologetic every time.
Most of Destin short term rental management is having the bench built before you need it. An HVAC company, a plumber, an electrician, a pool tech, and a cleaner who will answer on a Saturday. Finding those numbers at nine at night with a guest waiting is not the moment to be shopping.
MATCH THE FIX TO THE MISS
Have a ladder before you need one
Small things get a fast repair and a sincere apology. A missed cleaning detail gets someone back out that day.
Bigger things cost money, and it is cheaper to spend it than to eat the review. A night that was genuinely ruined gets a refund for that night. A house that is not livable gets the guest moved.
The mistake I see most is offering nothing and hoping, then offering everything after the review posts. By then the money buys nothing. The same amount spent on day two would have bought a five star review and a repeat guest.
Deciding this in the moment is how it goes wrong. Decide it now, while nothing is broken.

The recovery is the product
Guests forgive a broken air conditioner. They do not forgive being ignored.
A guest whose problem got handled well often leaves a better review than a guest whose stay was uneventful, because you gave them something to say about you. The fastest way to protect a rating is still the simplest one. Answer the phone.
